Once fully operational by mid-2018, Sidra Medicine will handle 275,000 outpatient appointments, 11,000 procedures, 100,000 emergency attendances and deliver over 9,000 babies per year, adding capacity to a rapidly growing population and delivering world-class specialist care.

The hospital will include 10 operating theatres, 400 beds, 100 percent single rooms with a private bathroom, a birthing center and an emergency department.

DEPARTMENT/BRANCH PROFILE: The mission of the Commercial Development Department in Corporate Services is to successfully develop, lead and expand entrepreneurial activities through high value-added business development programs, partnerships, and innovative opportunities leading to revenue diversification. The singular goal of the department is capital gains to support Sidra’s long term self-sustainability. The key driver for self-sustainment is diversified revenue generation through business development activities.
JOB SUMMARY: The Procurement Analyst – Merchandise is responsible for procuring supplies, services & equipment for the Sidra Merchandise Store located in the hospital Building, using established policies, procedures & systems.  The incumbent acts as a resource for operational staff for all services provided by the end user department, including direct retail working to support the Retail Supervisor on a regular basis. Functions as a liaison between vendors, Sidra and the end-user, as needed.
KEY ROLE ACCOUNTABILITIES:
  • Manages the product development of merchandise items to be sold within the store, and sets appropriate stock levels. Manages the RFP process, negotiates and awards contracts with suppliers.

  • Maintains accuracy of the ERP system to ensure no items are out of stock

  • Reviews requisitions for completeness, correctness and clarity

  • Conducts market reviews for product selection and availability

  • Manages the creation and development of bespoke and standard products with designers and vendors

  • Prepares tendering documents and channels them for approvals

  • Secures quotations, liaises with the end user for suitability, and negotiates with vendors

  • Proposes alternative approaches to the end user for improved functionality, quality, or price

  • Prepares analysis of quotations and product offerings

  • Prepares purchase orders and updates them if needed

  • Expedites purchase orders if needed

  • Performs direct cash or credit card purchases, where required and appropriate

  • Prepares procurement reports using ERP and other resources

  • Creates and maintains items in Sidra’s ERP Item Master – including assigning item numbers, descriptions, stock levels, packaging strings, price, etc.

  • Prepares reports from the ERP system and performs analysis

  • Liaises with end-users with respect to setting specifications and preparing requisitions

  • Resolves issues pertaining to delivery, payment, discrepancies in issued orders etc.

  • Assists the Retail Supervisor working directly in store with end consumers as part of the retail team

  • Assists with additional departmental duties assigned

  • Attends meetings; manages minutes and follow-up action items

  • Adheres to Sidra’s confidentiality and privacy of information policies

  • Performs other duties as assigned from time to time by procurement and contracts management

QUALIFICATIONS, EXPERIENCE AND SKILLS – SELECTION CRITERIA:

ESSENTIAL

  • Technical/vocational/Diploma in relevant field
  • 3+ years of procurement experience in a retail environment
  • Knowledge of Retail Fashion buying / procurement, seasons and market research
  • Knowledge of trade terminology, marketing practices, pricing methods, shipping procedures etc.
  • Knowledge of both local and global sources of supply
  • Demonstrated ability in extracting reports from ERP systems and performing analysis
  • Demonstrated ability to establish and maintain good working relations with the end users and suppliers.
  • Excellent communication skills - both verbal and written
  • Proficiency with Microsoft Office suite
  • Fluency in written and spoken English

PREFERRED

  • Bachelor’s degree in relevant field
  • Relevant certification and/or training
  • CIPS or equivalent
  • Direct hands-on retail store experience will be an added advantage
