Department/Branch Profile: The Medical Staff Services Division provides oversight of the quality of care, treatment and services provided by the practitioners credentialed and privileged through the Medical Staff process.  The Medical Staff Services Department assists physicians in providing leadership for the promotion of health care within the Sidra environment, with a particular focus on the health of women and children and patient safety at all of the facilities of Sidra.
Job Summary: The Coordinator – CME/CPD (Continuing Medical Education/Continuing Professional Development) provides educational, logistical and organizational program coordination and support for physicians and other healthcare professional, staff and other stakeholders to develop, plan , administer, monitor and evaluate CME/CPD and faculty development activities for the Medical Staff Service Division. The incumbent supports the Administrator – Faculty Affairs and CME/CPD in ensuring the CME/CPD activities meet all relevant criteria, guidelines and standards of State of Qatar, North American and European accreditation agencies and requirements. He/ She maintains documentation and records and assists in preparing reports related to the ongoing compliance with CME/CPD accreditation standards and healthcare providers credit assignments.
Key Role Accountablities:
  • Coordinates the day-to-day operational and administrative aspects of Sidra’s CME/CPD Office.

  • Collects and compiles data and QA information for the preparation of educational activities, survey site visits and annual reports.

  • Assists the Healthcare Practitioners in the development of the CME/CPD content with emphasis on regulatory compliance and assurance that CME/CPD activities are planned in compliance with the Joint Accreditation and QHCP accreditation guidelines.

  • Supports the application evaluation process to ensure compliance with the QCHP and Joint Accrditation for Interprofessional Continuing Education standards and criteria for commercial support including the collection of financial disclosure forms for all Healthcare Providers involved in CME/CPD planning activities.

  • Utilizes and monitors the CME/CPD project tracking system on a daily basis to track CME/CPD projects and to update the overall CME/CPD program, designs flyers, questionnaires and surveys requirements as needed.

  • Coordinates, arranges and documents all CME/CPD workgroup and committees meetings.

  • Monitors progress and follows up on actions from CME/CPD Workgroup and Committee meetings.

  • Develops reports for the CME/CPD Administrator and other CME/CPD leaders on the status of the CME/CPD programs’ compliance with accreditation agencies and identifies risks and recommends mitigation action.

  • Collaborates with leaders to help establish a process for reviewing and monitoring compliance of all pertinent accreditation institutions’ CME/CPD standards.

  • Monitors and maintains an organized and user-friendly system for tracking and maintaining records and monitors progress of all CME/CPD activities and programs.

  • Develops documentation templates for all meeting agenda, minutes, action logs and follows up.

  • Coordinates with Communication department and other stakeholders to ensure proper all CME/CPD activities and programs are communicated to the target audience effectively.

  • Delivers a professional, welcoming first point of contact to all stakeholders (physicians, nurses, other healthcare professional, leaders and representatives of partner institutions).

  • Refers all queries, where necessary, to the appropriate member of the department.

  • Serves as a  pro-active internal and external liaison to gather and exchange information to ensure the efficient running of the unit.

  • Resolves problems as they arise and ensures that staff and external partners are updated in a timely fashion.

  • Responsible for maintaining the electronic filing system of all documentation on the shared folder and Sidra portal related to CME/CPD & Faculty Affairs.

  • Coordinates the revision and updates of all relevant CME/CPD forms, policies, and procedures, and publishes the most current version on the portal.

  • Maintains a database of the master copies of all relevant forms and templates.

  • Prepares Power Point presentations, memos, letters and other documents as required.

  • Coordinates the ordering of office equipment and stationery for the section.

  • Coordinates and manages business travel, conference and meeting bookings for team members.

  • Identifies and communicates opportunities for improvement to processes within the department.

  • Assists in facilitating the concept of One Program, Multiple Institutions.

  • Adheres to Sidra’s standards as they appear in the Code of Conduct and Conflict of Interest policies

 

In view of the evolving needs and opportunities within Sidra during this pre-operational phase, this position may be required to perform other duties as assigned and reporting relationships may vary.
Qualifications, Experience and Skills:

 

 

ESSENTIAL

PREFERRED

Education

Bachelor’s degree in Business Administration, Education or relevant field or equivalent experience.

 

Experience

  • 3+ years’ experience in a senior administrative coordination role or project management role in a large organization.

     

  • Experience with CME/CPD and compliance with regulatory agency standards
  • Healthcare experience

     

  • 3+ years’ experience in coordinating Continuing Medical Education

     

  • Possesses administrative or coordinator experience in academic institution
