Sidra Medical and Research Center Ambulatory Clinics provide women and children with high quality and culturally responsive healthcare service that promotes wellness and inspires patients to actively participate in their healthcare choices.

JOB SUMMARY:

The Coordinator – Patient Access performs administrative scheduling functions with clinic appointment templates. S/he coordinates with IT and and other departments as required. S/he ensures scheduling workflows are smooth and efficient in their assigned locations.  S/he organizes all scheduling / template change requests in addition to reconciling template modifications and deletions. The Coordinator – Patient Access reviews appointment queue overflows and escalates concerns to the Patient Access management staff.

KEY ROLE ACCOUNTABILITIES:
  • Coordinates scheduling template activities with Medical Staff Services physician credentialing, IT administration and clinic management and creates, modifies or removes the ambulatory scheduling templates as required.
  • Ensures onboarding physician templates are completed and submitted to IT one week in advance of the clinic start date.
  • Organizes all scheduling / template change requests in addition to reconciling template modifications and deletions. 
  • Resolves scheduling escalations from ambulatory staff and internal service departments
  • Monitors all scheduling queue volumes and priorities orders to ensure workflows and volumes are smooth and efficient
  • Notifies the Supervisor – Patient Access when appointment queues increase significantly, and directly assists in reducing queue volumes through the scheduling of patients.
  • Prioritizes approved schedule changes and initiates the placement of affected appointments into the displaced queue for rescheduling
  • Coordinates displaced queue workflow in advance of appointment service dates and informs the Supervisor – Patient Access of any outstanding issues.                          
  • Ensures daily clinic appointment confirmations are completed and non-responsive patients are pushed to the telephone confirmation queue
  • Tracks appointment confirmation data for Ambulatory Clinic Management
  • Assists with ensuring all appointment confirmations are completed no later than the evening before scheduled appointment dates
  • Notates concerns with patient contact information so that Patient Access are able to validate the information directly with the patient or family
  • Adheres to Sidra’s standards as they appear in the Code of Conduct and Conflict of Interest policies

In view of the evolving needs and opportunities within Sidra during this pre-operational phase, this position may be required to perform other duties as assigned and reporting relationships may vary.

QUALIFICATIONS, EXPERIENCE AND SKILLS – SELECTION CRITERIA:

ESSENTIAL:

  • Bachelor's Degree in a related field
  • 2+ years' experience including 6 months of electronic scheduling experience in Healthcare.
  • Competent in Medical Terminology
  • Proficiency in healthcare scheduling
  • Proficiency with Microsoft Office suite
  • Fluency in written and spoken English
